What's included

Your entire print environment, managed by us

A managed print service is a fixed-cost contract where we supply, install, monitor and support your business printers and photocopiers. You stop managing print infrastructure. We start.

Hardware supply

Canon and Toshiba MFPs delivered, installed and configured to your network.

Remote monitoring

We watch every device 24/7 and see issues forming before they cause downtime.

Automatic toner

Monitored remotely and despatched before you run out. No ordering required.

On-site engineers

When a device needs attention, an engineer visits you within 4 business hours.

Usage reporting

Monthly reports showing print volumes, costs, and usage by device or department.

Single invoice

All devices, all support, all toner on one monthly invoice. No variables.

A managed print service (MPS) means Carden Managed Print takes responsibility for your entire print environment: the hardware, the consumables, the maintenance, and the monitoring. You pay one predictable monthly amount. We handle everything else.

Without managed print

IT team chases toner orders, calls engineers reactively, fields printer complaints, and reconciles three separate invoices every month.

With Carden managed print

Toner arrives automatically. Engineers respond proactively. One invoice per month. Your IT team does something more useful instead.

How it works

From assessment to fully managed in four steps

1

Free print assessment

We audit your current setup: devices, usage volumes, costs, and pain points. No charge. No obligation. You get a clear picture of what you're actually spending on print today.

2

Tailored proposal

We recommend the right devices and managed print contract for your business size, print volumes, and budget. All pricing is fixed and transparent. No per-page surprises.

3

Installation and training

We deliver, install and configure your devices, connect them to your network, and train your team. In most cases this is completed in a single working day.

4

Ongoing management

From day one, Carden monitors your devices remotely, replenishes toner automatically, responds to faults on-site, and sends you monthly reports. You do nothing.

Managed print costs

What does a managed print service cost?

Managed print services are priced on a per-device monthly basis. Most businesses find their total print spend falls in year one, once you account for IT time, ad-hoc toner purchasing, emergency callout fees, and unplanned downtime that managed print eliminates.

One fixed monthly price

Hardware, toner, maintenance, monitoring and support: all on a single invoice. No per-page overages, no variable billing.

Free audit before any commitment

We assess your current print costs before you sign anything. You'll know exactly what you spend today and what our managed print service would cost.

We aim to beat any comparable quote

If you have a managed print proposal from another provider, send it to us. We'll review it and show you a like-for-like comparison.

20–30%
Typical saving in one year

Our clients typically reduce total print costs by 20–30% in their first year on a Carden managed print contract, by eliminating reactive purchasing, reducing device downtime, and consolidating billing.

“We’d been managing our own printers for years and it was a constant drain on our admin team’s time: ordering toner, calling engineers, querying invoices. Moving to Carden’s managed print service removed all of that overnight. One invoice, one point of contact, everything just works.”

How Stagecoach Performing Arts Eastbourne eliminated print management overhead with a Managed Print service

The challenge

Stagecoach Performing Arts Eastbourne operates a busy performing arts school serving children and young adults across East Sussex. Like many small arts organisations, their back-office team was small and stretched, and managing their print environment had become a persistent administrative burden. Toner ran out at inconvenient moments, engineer callouts were reactive and unpredictable, and print costs arrived on multiple invoices that were difficult to reconcile month to month.

The studio administrator responsible for operations wanted a single, predictable arrangement that removed print from their list of things to manage. They were not looking to invest in new hardware outright. They needed a managed print service that would take the problem off their desk entirely.

What Carden delivered

Carden Managed Print conducted a free print assessment to understand the school’s print volumes, device requirements, and current pain points. Based on that assessment, we proposed a single Canon multifunction device on a managed print service contract, covering the hardware, automatic toner replenishment through remote monitoring, on-site engineering support, and a single monthly invoice.

Installation was completed in a single day. The device was configured to the school’s network, staff were trained on the new setup, and remote monitoring was activated. From that point, the school’s team had no further involvement in print management. Toner arrived automatically before it was needed, and any technical issues were addressed by Carden proactively before they became disruptions.

The outcome

The studio administrator described the experience as going above and beyond, noting that the entire process was managed clearly from start to finish and that the school had not needed to think about their printers since. The managed print service delivered exactly the outcome they needed: a reliable, hassle-free print environment on one predictable monthly cost.

Common questions

Managed print service: your questions answered

What is a managed print service?

A managed print service (MPS) is a contract where a provider (in this case Carden Managed Print) takes complete responsibility for your business print environment. This includes supplying the hardware, delivering and replenishing toner automatically, providing on-site engineering support, monitoring devices remotely, and billing everything on a single monthly invoice. You stop managing printers. We start.
Renting a printer typically means you pay a monthly fee for the hardware and may or may not have support included, but you still manage the toner, monitor the device, and deal with faults reactively. A managed print service is more comprehensive: it covers the hardware, toner, monitoring, proactive support, and reporting under one contract. Think of printer rental as leasing a car, and managed print as a fully inclusive company car scheme where someone else handles servicing, fuel, and breakdowns.

Every Carden managed print contract includes: Canon or Toshiba hardware delivered and installed; remote device monitoring 24/7; automatic toner replenishment (we despatch before you run out); on-site engineer support within 4 business hours for critical faults; monthly usage and cost reports; and a single monthly invoice covering everything. There are no hidden per-page charges.

Our standard managed print contracts run for 36 months, though we can offer 24 or 60 month terms depending on your requirements. We discuss the right contract length as part of your free assessment. There is no one-size-fits-all answer, and the right term depends on your hardware refresh cycle, business growth plans, and budget. If you need more flexibility, ask us about our printer rental option which operates on a monthly rolling basis.

In some cases yes, depending on the age, model, and condition of your current devices. We assess your existing hardware as part of the free print audit and advise whether it makes sense to incorporate them into a managed print service or whether newer hardware would serve you better. There is no obligation to replace working equipment.

Our primary managed print service area is Sussex, Surrey, and London, where we can offer the fastest on-site engineer response times. We do serve clients elsewhere in the UK where managed print requirements and engineer coverage allow. Contact us to discuss your location and we will confirm whether we can offer a full managed print service contract in your area.
